Senior Property Manager – Commercial Real Estate Association Properties

We are seeking an experienced and highly motivated Senior Property Manager to join our team. The ideal candidate will have a proven track record of managing commercial real estate properties, experience with association governance, and the ability to lead with professionalism and expertise.

Key Responsibilities:

  1. Portfolio Management: Oversee a portfolio of commercial real estate projects and association properties, ensuring compliance with CC&Rs, bylaws, and other project and association documents.
  2. Financial Oversight:
    1. Develop, monitor, and manage property budgets, including association budgets.
    2. Conduct financial reporting, including variance analyses, delinquency reports, and reserve studies.
    3. Ensure timely collection of assessments and address delinquent accounts in collaboration with legal counsel.
  3. Maintenance and Operations:
    1. Manage vendors and service contracts, ensuring compliance with service level agreements and standards.
    2. Oversee property maintenance, repairs, capital improvement projects, and tenant improvement processes.
    3. Ensure compliance with ADA, safety, and other regulatory requirements.
  4. Capital Expenditures (CapEx) Expertise:
    1. Assess CapEx needs, obtaining competitive bids, coordinating with contractors, and ensuring projects are completed on time and within budget while aligning with ownership objectives.
  5. CAM Expense Management & Reconciliation:
    1. Experienced in managing Common Area Maintenance (CAM) expenses, including budgeting, reconciliations, expense allocations, and ensuring compliance with lease agreements.
  6. Board and Owner Relations:
    1. Prepare for and attend board meetings, presenting budgets, financial reports, and management updates.
    2. Act as the primary point of contact for property owners and board members, addressing inquiries and providing solutions.
    3. Assist with owner/tenant communications, including notices, newsletters, and updates.

Experience:

  • Minimum of 5+ years of property management experience, with at least 2 years managing commercial association properties or similar. Real estate broker's license is a plus but not required.

Certifications:

  • CPM, ARM, or RPA preferred. CAI certifications (e.g., PCAM, CMCA, AMS) are highly desirable.

Education:

  • Bachelor's degree in real estate, business administration, or a related field preferred.

Technical Skills:

  • Proficiency in property management software (e.g., Yardi, CondoCafe, AppFolio).
  • Advanced skills in Microsoft Office, particularly Excel, for financial analysis, reporting, and data management.
  • Strong knowledge of California Civil Code (Davis-Stirling Act) and commercial real estate laws.
  • Broad understanding of financial terms and principles.
  • Must have a comprehensive understanding of all aspects of office operations and demonstrate a willingness to handle back-office tasks as needed, including the ability to perform back-office duties specific to the role, ensuring efficient support of day-to-day operations and administrative functions.
