Description:

Our Non-Profit client in the Philadelphia area is looking for a part-time or full-time Grant & Data Project Professional who will play a critical role in strengthening the financial and data infrastructure supporting various programs. This role is responsible for organizing and centralizing grant financial data across multiple programs, building a reliable 'end user' grant tracking system, and supporting the preparation and transition of data into the organization's CRM systems.
This position directly supports financial accountability, cross-team coordination, and operational readiness. Success in this role ensures leadership, program staff, and finance teams are working from accurate, shared information and are prepared for system-wide data integration.

  • Hours/Schedule - Training in office and then hybrid/remote once trained; Open to part time or full time (which will alter the timeline noted below)
  • Duration - 6-9 months
  • Benefits - available through payroll company at candidate cost
  • Salary - $20-$25 an hour
Data Preparation & Systems Integration (Salesforce)
  • Support preparation for CRM integration by organizing, auditing, and cleaning program data to ensure accuracy and consistency prior to migration.
  • Prepare program, participant, and outcome data for migration by ensuring completeness, standardization, and alignment with defined data requirements.
  • Work with leadership to identify required data fields, standards, and workflows for CRM implementation.
  • Support onboarding and documentation to help staff understand new data processes and expectations.
  • ssist with testing, validation, and early-stage implementation tasks as needed.
Grant Data & Financial Tracking
  • Organize, maintain, and update grant-related financial and program data to support operations and grant-related deliverables.
  • Support the development and maintenance of centralized spreadsheet-based tracking tools that consolidate grant data from multiple sources.
  • Prepare and provide clear, accurate grant data to Finance and Fund Development to support grant management, reporting, and compliance requirements.
  • Track summary-level grant information, including awards, budgets, expenditures, balances, reimbursement status, and key deadlines, to support internal coordination and planning.
  • Identify missing, inconsistent, or unclear data and coordinate with staff, Finance, and Fund Development to support timely resolution.
  • Support leadership's fiscal oversight by ensuring grant-related data is current, organized, and accessible.
Cross-Functional Coordination
  • Serve as a point of coordination between program staff and finance and development teams to align grant data, spending, and reporting.
  • Translate financial and system data into clear summaries for non-finance staff.
  • Promote consistent practices for grant tracking and data management across programs.
Administrative & Operational Support
  • Develop basic documentation, templates, or user guides to support sustainability of grant tracking and data systems.
  • Support leadership with data pulls, summaries, and operational reporting as requested.
  • Participate in staff meetings, planning sessions, and system implementation check-ins related to grants and data systems.
REQUIREMENTS
  • Strong proficiency with spreadsheets (Google Sheets and/or MS Excel), including managing multi-source data.
  • Comfort working with grant-related financial data at a tracking and coordination level.
