Office ManagerPosition SummaryThe Office Manager is responsible for overseeing the daily administrative operations of the office while ensuring the accuracy and integrity of customer pricing, promotional activity, and bill back processing. This role serves as a central support position for office coordination, customer service, accounting support, and operational communication.Key ResponsibilitiesOffice Administration & OperationsOversee day-to-day office operations to ensure efficiency and organizationCoordinate communication between departments including sales, accounting, and warehouseServe as a primary point of contact for internal administrative supportHelp maintain company procedures, documentation, and workflow organizationAssist leadership with special projects and operational support as neededCustomer Pricing ManagementMaintain and update customer-specific pricing within company systemsReview pricing discrepancies and resolve issues in a timely mannerVerify pricing accuracy to help protect company marginsPromotions CoordinationSet up and track customer promotions, discounts, and special pricing programsCommunicate promotional details internally to ensure proper executionMonitor promotional timelines and documentationBill back Processing & Administrative Accounting SupportReview, validate, and process customer bill backs and deductionsEnsure bill backs align with approved pricing and promotional agreementsInvestigate discrepancies and collaborate with internal teams to resolve issuesAssist with administrative accounting tasks including documentation, reporting, and record keepingSupport communication related to deductions, credits, and customer inquiriesData Accuracy & ReportingAssist in generating reports related to sales, promotions, deductions, and operational trackingUtilize Excel and company software systems to organize and maintain accurate informationIdentify opportunities for process improvements and operational efficienciesAssist with implementation and maintenance of process documentation tools such as Scribe and workflow systems such as WrikeQualificationsRequiredStrong organizational skills and attention to detailAbility to prioritize multiple tasks and meet deadlinesStrong communication and problem-solving skillsBasic to intermediate Microsoft Excel skillsProfessional and dependable work ethicAbility to work independently while supporting a collaborative team environmentPreferredExperience in office management, administrative coordination, pricing, billing, or accounts receivableFamiliarity with promotions, deductions, or bill back processesExperience in food distribution, wholesale distribution, logistics, or similar industriesExperience with workflow management systems, SOP documentation, or operational process improvementPhysical RequirementsPosition requires primarily sitting for extended periods of timeOccasional bending, squatting, climbing, lifting, and reaching may be requiredCompensation & ScheduleCompensation Range: $27 - $32 per hourFull-time positionMonday - Friday schedule
